Privacy Policy

This Privacy Policy explains how WorkVista handles information when you use the WorkVista desktop application and the workvista.ai website. WorkVista is designed as a local-first work management application that connects to services you choose.

1. Information WorkVista accesses

Connected email, calendar, and contact accounts

When you connect an account, WorkVista may access the data needed to provide the features you enable, including:

email messages, headers, attachments, labels, and mailbox metadata;
calendar lists and events;
contacts and automatically saved “other contacts”; and
basic account information such as your name, email address, and profile information.

For Google accounts, WorkVista requests read-only Gmail, Google Calendar, and Google Contacts permissions. WorkVista does not use Google authorization to send, delete, or modify your email.

Information you create

WorkVista stores the projects, assignments, tasks, notes, summaries, preferences, and other work-management information you create in the application.

Credentials

OAuth tokens, IMAP passwords, integration tokens, license keys, and AI-provider API keys are stored in your operating system’s secure keychain. They are not stored in WorkVista’s SQLite database or ordinary configuration files.

2. How information is used

WorkVista uses connected-account data only to provide and improve user-facing features you request, including fetching and threading email, routing conversations into projects, finding known contacts, displaying calendar events, generating summaries, and supporting task and project workflows.

Google API Limited Use disclosure: WorkVista’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

WorkVista does not sell Google user data, use it for advertising, use it to determine creditworthiness, or use it to train generalized artificial-intelligence or machine-learning models.

3. Local storage

The current WorkVista desktop application stores email content and work-management data locally in a SQLite database on your computer. That database is not encrypted by WorkVista. It is protected by your operating-system account, device security, and any full-disk encryption you enable. Anyone who can access your operating-system account or local application files may be able to read this data.

The current released desktop application does not synchronize email or project content through a WorkVista cloud account.

4. AI features and third-party providers

If you enable AI features, WorkVista sends the relevant content needed for the feature to the AI provider and model you configure. This may include email text, project context, tasks, or documents. The provider processes that information under its own terms and privacy policy. WorkVista does not control a provider you select.

You can configure Ollama or another compatible local model so supported AI processing remains on your computer. If you do not want connected-account content sent to a cloud AI provider, select a local provider or do not enable cloud AI features.

5. License checks

Beta builds contact WorkVista’s license service to validate access. A license request may contain the license key, a randomly generated device identifier that is not a hardware fingerprint, operating-system type, and application version. License requests do not contain email messages, project content, OAuth tokens, or AI-provider keys.

6. Website data

The public pages at workvista.ai do not use advertising pixels, analytics scripts, contact forms, or WorkVista-set tracking cookies. If you contact support by email, WorkVista receives the information you choose to include and uses it to respond to your request.

Infrastructure providers may process routine technical information, such as IP addresses and request logs, to deliver and protect the website.

7. Sharing and disclosure

WorkVista does not sell personal information. Information may be disclosed only:

to service providers necessary to deliver a feature you enable, such as your email provider, your selected AI provider, website hosting, or license validation;
when you direct WorkVista to send information to another service;
to comply with applicable law or a valid legal request; or
to protect users, WorkVista, or the public from fraud, abuse, or security threats.

8. Retention and deletion

Locally stored data remains on your computer until you remove it through the application, clear the application’s data, or uninstall and delete its local files. Disconnecting an account removes its saved credential but may preserve previously imported work data so projects are not unexpectedly destroyed.

You can revoke Google access from your Google Account’s third-party connections settings. You may contact support@workvista.ai to request deletion of information held by WorkVista-operated services, such as support correspondence or licensing records, subject to legal and security retention requirements.

9. Security

WorkVista uses safeguards appropriate to the information it handles, including OAuth with PKCE, operating-system keychain storage for credentials, encrypted network connections, and data minimization. No method of storage or transmission is completely secure.

10. Children

WorkVista is intended for business and professional use and is not directed to children under 13. WorkVista does not knowingly collect personal information from children under 13.

11. Changes to this policy

This policy may be updated as WorkVista changes. The effective date above will be revised when material changes are published. This policy will be updated before cloud synchronization or materially different data processing is released.
